RETHINK THE FRONT DOOR TO CARE
One Pass.
One Workflow.
Every admission is a journey. OnePass brings the people, tasks, handoffs, and minutes that shape it into one clear operational view.
Built around the realities of behavioral health admissions.

INSIDE THE PRODUCT · INTAKE COMMAND CENTER
A command center
that feels alive.
The actual OnePass interface brings the daily welcome, Concord weather, three intake lanes, and operating statistics into the same shift view.

THE PROBLEM
Does this sound
familiar?
A client arrives. The clock starts. But nobody can see the entire process.
Have clients been waiting in the lobby longer than they should?
Is your admissions staff frustrated by delays and competing workloads?
When an admission stalls, can leadership tell exactly where and why?
When the information is scattered,
the client feels the delay.
A familiar operational challenge—not a claim about any one facility
THE SOLUTION
One shared view.
From arrival to unit.
OnePass follows an admission as an operational workflow—not just a start time and a finish time.
Every step is visible. From greeting and belongings to consents, nursing, and transport.
Every handoff has context.Teams can see what is complete and what needs help.
Every minute matters.Elapsing timers bring stalled work into view.
But “what is happening right now?”
WATCH AN ADMISSION MOVE
A ticket moves.
The whole team sees.
Watch a sample admission progress from arrival to unit. When a step stalls, an attention signal appears instead of remaining buried in a spreadsheet.

ACCOUNTABILITY BY DESIGN
Not just a checkmark.
A timestamped record.
OnePass records when each task is marked complete and which staff member marked it. A real workflow leaves an operational trail.
Completion times are recorded individually. That makes unusual patterns visible for review and helps identify where work slows down.
Illustrative task history • Actual system records completion time and staff code
TIME-SENSITIVE HANDOFFS
The nursing wait
is no longer invisible.
The moment “Nursing notified” is recorded, OnePass can track the wait until “Nursing with client” is completed.
Live elapsed timeHow long the nursing handoff has been waiting.
Escalating visual urgency30, 45, 60, 90 and 120-minute thresholds draw attention.
Escalation optionsStaff can route concerns to the Intake Lead or leadership.
SMARTER COMMUNICATION
Right message.
Right team. Right time.
OnePass includes email notification workflows that connect intake, BHTs, Intake Leads, and leadership.
Operational support needed
Ticket OP-0240 has been escalated for a prolonged wait. Please review the current workflow and coordinate the next step.
The team receives operational context—not a vague “please call me” message.
Notification templates are built in; email delivery uses configured mail service
BUILT AROUND THE REAL WORK
Even the “small”
things add up.
A forgotten laundry handoff becomes another delay. OnePass tracks these operational details so they don't disappear into a busy shift.
Timer-driven laundry reminders are included in the current code. Staff can also send direct BHT notifications for belongings, unit transport, and other needs.
MORE THAN ONE SCREEN
The right view
for the next task.
OnePass presents distinct workspaces for the admissions board, ticket details, discharges, census, morning follow-ups, and archive review.
Intake boardReal-time priorities and current progress.
Discharge commandA dedicated warm-to-active display with confirmation status.
Follow-up & historyClosed-incomplete workflows and recorded events remain visible.

BEYOND THE FIRST HANDOFF
Admissions.
Discharges. Step-downs.
OnePass also supports the operational movement that happens after arrival—including planned discharges and transfers between programs.
Discharge task workflowsDifferent paths for successful, AFA, behavioral, medical, and step-down discharges.
Confirmation windowsApproaching discharges are flagged for review at 72, 48 and urgent windows.

OPERATIONS INTELLIGENCE
Leadership shouldn't
have to guess.
What if you could see what the intake team is experiencing—without waiting until someone complains?
Spot pressure pointsWhich admissions require attention right now?
Measure the processHow long are admissions taking to complete?
Review exceptionsWhat was left incomplete, and why?
Dashboard metrics shown are illustrative; time-series chart is a reporting concept
MEASURE · DIAGNOSE · IMPROVE
Turn wait time
into a better decision.
A manager report can answer more than “how many admissions?” It can show which stage absorbs the most time and where additional support might help.
See the bottleneck.Compare time in intake, nursing handoff, documentation, and unit transfer.
Choose an intervention.Change staffing, improve a handoff, or clarify task ownership.
Measure the result.Compare workflow times before and after—and assess client experience separately.
The live app already exposes counts, average intake time and task history. Cross-period bottleneck analysis and care-retention correlations are proposed reporting extensions.
Where does an admission spend its time?
Focus a pilot on earlier nursing notification and clearer handoff coverage. Track whether wait times fall.
Entire report is illustrative—not actual Pyramid performance or measured outcomes
A DIFFERENT JOB, A BETTER FIT
The clinical record
and the client journey.
Electronic health records document care. OnePass is built to coordinate the operational journey into that care.
OnePass is designed to complement tools such as CareLogic or myAvatar—not replace the medical record. It answers a different set of questions.

THE NEXT LAYER · PROPOSED CAPABILITY
The deadline matters.
So does the person.
Clinical and administrative obligations can be time-sensitive. A proposed OnePass deadline layer would make pending requirements visible before they become overdue.
Administrative requirementsTrack outstanding paperwork, reviews, or documentation with configured due times.
Clinical / counseling milestonesSurface assignments and follow-ups that need qualified staff attention.
Facility-specific rulesConfigure deadlines after review against applicable licensing, regulatory, contractual, and accreditation standards.
Status: Proposed. The examined code does not yet implement a clinical deadline engine. Sample timing is hypothetical and does not assert a legal or clinical requirement.
Concept screen: admin and clinical deadlines require additional implementation
THE REASON IT MATTERS
Clients don't see
your systems.
They feel the wait. They notice confusion. They remember whether the team seemed ready for them.
Less waiting.
Clearer handoffs.
More attention where it counts.
OnePass makes the invisible operational moments visible to the people who can improve them.
Illustrative concept • Outcomes depend on implementation and use
ENGINEERED AROUND WORKFLOW · VERIFIED IN CODE
The interface is
only the surface.
Behind the board is a Python web application with defined operational states, task-level database records, staff attribution, timed conditions, and notification endpoints.
What takes work: mapping a real admission into 21 discrete steps; recording who completed each step and when; calculating elapsed waits; preserving incomplete work; and coordinating exceptions across teams.
Current implementation, not a hypothetical stack. Optional AI-assisted email wording exists behind a configuration flag; core workflow rules do not depend on it.

REAL FOUNDATION · CLEAR NEXT STEPS
A working foundation.
A disciplined path forward.
The strongest technology story is specific: what exists, what has been validated in code, and what must happen before organizational rollout.
A controlled pilot would establish actual workflow benefits and help define durable production requirements—not merely demonstrate a pretty dashboard.
Task completion & staff timestamps · intake and discharge routes · nursing wait display · manual escalations · configured email templates · census reconciliation · daily statistics
Observe real staff workflows, measure time-to-unit, verify email reliability, validate handoffs, obtain feedback and establish measurable baselines
Role-based access hardening · durable background scheduling · scalable database & backups · configurable clinical deadline rules · EHR interoperability · multi-site analytics
Purpose: distinguish implemented functionality from pilot work and future development
THE OPPORTUNITY
Imagine if every
facility could see more.
The foundation is here: a working admissions workflow with timestamps, task visibility, notifications, handoff tools, and operational reporting.
Future possibilities include configurable clinical daily timers, broader cross-site reporting, and integrations with existing systems. These are next-stage ideas, not features being represented as deployed today.
A better front door to care.
